The funding decision is the starting signal for project implementation.

The enclosed funding agreement and the General Terms and Conditions (GTC) contain all the information required for the financial management of the project, project communication and project completion.

Calls for funds

Funds can be drawn down after receipt of the signed funding agreement and the notice of exemption. 20% of the approved funds will be withheld until the proof of use (project completion) has been submitted and checked. LWL-owned institutions are exempt from this regulation.

To be taken into account for calls for funds:

  • informally by e-mail to Jonas Koch
  • in installments
  • in the amount used in the project in a timely manner (usually within three months)
  • Specification of concrete invoices, offers or similar documents not required

The approved funds can be used for costs that are directly related to the funded project.

Communication

Each project team plans and is responsible for project-related communication independently - taking into account the funding conditions of the LWL-Kulturstiftung.

The following must always be taken into account:

  • textual funding information
  • Logo use in digital media and print media
  • Reference to promotion in the social media by tag or link #lwlkulturstiftung @lwlkulturstiftung
  • If applicable, a greeting or other representation by a representative of the foundation (see details in the funding agreement)

The use of the foundation logo requires prior approval.

Project completion

Proof of use must be submitted to the LWL-Kulturstiftung no later than six months after project completion.

Projects are considered completed when all accounts have been finally settled (as a rule, the end of the project period specified in the application applies). After the LWL-Kulturstiftung has subsequently checked the complete proof of use submitted, the remaining 20% of the total funding amount will be paid out (LWL’s own institutions are excluded from this regulation).

The where-used list includes:

  • written statement, approx. one DIN A4 page
  • Final financial statement based on the cost and financing plan (target/actual comparison)
  • Digital views of printed matter
  • Specimen copies of catalogs and other extensive publications

Submission:

  • by e-mail
  • Catalogs and other extensive printed materials in addition to the digital final report by post

Change notices

Important changes that arise in the course of the project must be communicated or require the approval of the LWL-Kulturstiftung.

Notification necessary at:

  • Change of project name/title
  • Postponement of events during the project period
  • Problems or delays in project implementation

Consent required for:

  • Absence of key project components
  • Extension of the project duration
  • Problems or delays in the realization of the project objectives
  • Change in the funding quota (e.g. due to unexpected additional funding approvals and rejections or a significant reduction/increase in the total costs of the project)

FAQ: Do I have to state what I am using the funds for when I request them?

No. The call for funds as an informal mail includes the total amount as it will be used in the project in a timely manner (usually within three months).

20% of the funds are retained until the proof of use has been checked. The remaining 80% can be drawn down in one go, provided that the funds are spent promptly (usually within three months) after they are drawn down. LWL-owned facilities are exempt from withholding the last 20%.

The processing time varies depending on the scope and completeness of the where-used list. Gaps or details that require consultation and, if necessary, clarification will prolong this process.
